1. Who we are
BalanceMitra ("we", "us", "our") is published by Advensio Technologies and provides a mobile app for community cashbooks, group expense splitting, and friend ledgers. This policy explains what we collect, why, who it is shared with, and how you can exercise your rights. It applies to the Android and iOS apps and to balancemitra.com.
Contact: support@balancemitra.com. We operate from India. Data is stored primarily in AWS ap-south-1 (Mumbai).
2. Information we collect
We collect only what is needed to run the service:
- Account: name, email address, password (stored by AWS Cognito, not in plain text), optional phone number, country, and preferred currency.
- Financial content you enter: cashbook and split transactions (amounts, dates, descriptions, categories, payment mode), running balances, and group/friend memberships.
- Files you attach: receipts and other documents (photos or PDFs) stored in Amazon S3 so you and members of that cashbook or split can view them.
- Invites: phone numbers or email addresses of people you invite. If they are not registered, we keep a pending invite until they join or you cancel it.
- Contacts (on device only): if you tap Invite from contacts, the app reads names and phone numbers on your device so you can pick someone. We do not bulk-upload your address book. Only the contact you select is sent to our servers.
- Notifications: a Firebase Cloud Messaging (FCM) token so we can send transactional push notifications (for example, a new expense in a shared book).
- Device sync id: a random id created on your device so offline changes can sync without duplicating entries. It is not an advertising id.
- On-device cache: a local copy of your books (Hive) so the app works offline.
Phone verification codes may be sent by SMS or WhatsApp. We do not collect precise location, contacts in bulk, payment card numbers, or advertising identifiers. We do not use analytics, crash-reporting, or advertising SDKs in the current app.
3. How we use your data
- Create and authenticate your account.
- Sync cashbooks, splits, and friends across your devices.
- Let members of a shared book see entries and attachments you add.
- Send OTPs, password-reset emails, and in-app/push notifications about activity you are part of.
- Generate PDF or CSV exports you request.
- Prevent abuse (rate limits, unique phone numbers, account security).
We do not sell or rent personal data. We do not use your data for third-party advertising or cross-app tracking.
5. Storage and security
Primary storage is AWS ap-south-1 (Mumbai). We use TLS in transit and encryption at rest. Access to production systems is limited. No method of transmission is 100% secure; you are responsible for keeping your password confidential.
6. Retention
We keep account and book data while your account is active. Pending attachment download links in PDF statements expire after 90 days.
After you delete your account in the app we remove your login, profile, phone index, and push token immediately. Email deletion requests are completed within 30 days after we verify them. Residual copies in backups and logs are cleared within 30 days. Transactions you added in shared cashbooks or splits are kept for remaining members (your name is replaced with a placeholder) so their balances stay correct. Local cache on a device is removed when you uninstall the app or log out, as the OS allows.
7. Your rights and account deletion
You may access and correct your profile in the app, export statements (PDF/CSV), and delete your account.
- In the app: Profile → Delete Account.
- On the web: balancemitra.com/delete-account.
If you are the only admin of a cashbook or split group that still has other members, the Delete Account screen lets you delete that book or transfer admin to another member before your account is removed. This protects other people's shared records. In-app deletion of your login is immediate; email requests and residual copies are completed within 30 days.
Under India's Digital Personal Data Protection Act, 2023, you may request access, correction, erasure, and a grievance review. Email support@balancemitra.com (Grievance Officer contact). We aim to respond within the timelines required by law.
8. Permissions the app may request
- Internet: required to sync and sign in.
- Notifications: optional; transactional alerts only.
- Contacts: optional; invite a selected person by phone.
- Photos / files: optional; you pick a receipt with the system file picker. We do not require all-photos access.
9. Launch updates from the website
Before the app is released, balancemitra.com offers a "Notify me" form so you can hear when BalanceMitra is available.
- What we collect: the email address you enter and which page of the site you used the form on. Nothing else is required.
- How we use it: only to tell you that BalanceMitra is available on Google Play and the App Store. It is not used for advertising, not sold, and not linked to an app account. You do not need to join the list to use the app.
- How it reaches us: the form sends your address to our own server, and it is stored in an encrypted database in India (AWS Mumbai), separate from app accounts. If that is unavailable, the form opens an email to support@balancemitra.com from your own mail app. In that case the email is handled like any other support message.
- How long we keep it: we delete the list within 90 days after sending the launch announcement.
You can ask us to remove your address at any time before then by emailing support@balancemitra.com.
10. Children
BalanceMitra is for users aged 13 and over. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has registered, email support and we will delete that account. The app records expenses you enter; it does not transfer money or process payments.
11. Changes
We may update this policy. The date at the top will change. Material changes will be noted in the app or on this page.
